Wedding Day Coordination

Many couples like to take charge of their own wedding planning and look forward to beholding the fruits of their labour on their wedding day.  This selection is best suited to the hands-on couple who prefer to do all the wedding planning themselves.  You have a vision?  I Do will bring your vision to life.  Have you meticulously planned everything down to the last detail?  We will ensure that your event is executed according to plans and guarantee you peace of mind so that the Bride and Groom, the wedding party and your families may relax and enjoy your special day to the fullest.  We will manage the infinite number of little details that combine to make your wedding day a beautiful success.  In addition to executing your plans, our behind-the-scenes presence will provide all your vendors a point of contact so that problems can be resolved without interrupting your important moments.  Often times, we can mitigate problems that arise without you ever having known that there was a problem.

The Process:

At least one month prior to your wedding, one face-to-face consultation will take place to determine your planning progress, to identify any outstanding issues and to offer advice about meeting your goals on time.  For out of town brides, this meeting may take place via Skype.  I Do will provide you with a checklist of outstanding items as well as a Wedding Day Timeline and will confirm the details with your vendors.  One more meeting or discussion will be necessary to finalize the details.

The Enchanted Evening package includes the services of a Lead Coordinator and an Assistant Coordinator for 8 hours on the Wedding Day.  For more information on the services available during the eight hours of coordination, see below.  Additional hours are available.


Enchanted Evening services may include:

  • Creating a wedding day schedule
  • Attending, overseeing and directing the ceremony and reception (up to 8 hours) to ensure a smooth and stress-free day
  • Overseeing ceremony and reception set-up
  • Assist the wedding party, family members and guests as needed on the wedding day
  • Instructing attendants of their duties when necessary
  • Providing seating instructions to the ushers
  • Organize procession and recession for the ceremony
  • Get wedding party in place to walk down the aisle.  Making sure flowers are held correctly, starting attendants down the aisle for perfect timing, fluffing the wedding dress train and ensuring it is straight, etc.
  • Handling any problems and emergencies that arise
  • Vendor referrals
  • Collection of wedding items to be set up on wedding day, such as candles, photographs, guest book, wedding favors, toasting glasses, serving sets, programs, seating cards, table numbers, etc.
  • Assisting with handing out wedding flowers pinning on corsages, boutonnieres, etc.
  • Receiving deliveries and greeting vendors; overseeing all vendor commitments and making sure they are fulfilled to your standards;
  • Assisting the Photographer in rounding up friends & family members for pictures before ceremony;
  • Working in conjunction with the Church Coordinator if applicable;
  • Assisting setting up all your decorative items for the ceremony;
  • Supervision and inspection of reception set-up: lighting, décor, etc;
  • Assisting setting up your decorative items as planned for the reception such as place cards, gift table, bonbonnières, bathroom baskets, plus any items you have for decorating the venue;
  • Reviewing set up of tables and chairs according to your seating plan;
  • Making sure transportation is running on time;
  • Enforcing wedding day timeline; ensuring things are running on schedule;
  • Overseeing the photo shoot to help the photographer get the pictures you want, making sure family members are available and in place for the photographer;
  • Assist guests with seating cards by finding their seat at the reception;
  • Coordination of events at the reception (dining, first dance, toast, cake cutting, garter toss, bouquet toss)
  • Acting as liaison to the kitchen and the banquet manager;
  • Coordinating with wedding party and DJ to arrange grand entrance;
  • Giving a five minute "curtain call" to everyone making a speech;
  • Cue sound operator, vocalists, musicians, speakers when necessary;
  • Checking the ladies room for toilet paper, paper towels and making sure the trash is emptied;
  • Distributing final payments and gratuities to vendors;
  • Coordination of the collection of gifts received at the reception to be delivered to a pre-arranged location;
  • Collect guest books, cameras, personal items, etc. to be delivered to a pre-arranged location;
  • Washing and packing the toasting flutes, cake knife and server at the end of the night;
  • Wrapping the top layer of the wedding cake;
  • Access to our Wedding Day Emergency Kit for unexpected mishaps;

The Helping Hand Package

Wedding Day Coordination & Partial Planning

Many couples do their own wedding planning and find the process to be both rewarding and challenging.  Learning all the facets of a wedding for the first time and then optimizing each is very difficult.  Perhaps you have a strong desire to plan your own wedding.  Or, perhaps because of your budget you are taking on all the responsibilities of planning your wedding.  One of the most valuable lessons learned by couples by the time their wedding day arrives is that the value of balancing one's money and one's time cannot be overstated.  The hands-on involvement that you may want to add to your wedding, though it may seem during the planning stage to be an excellent way to add a personal touch to your wedding, can become overwhelming and time-consuming as your wedding day draws near.  Most couples do not have the luxury of putting their busy professional and personal lives on hold to organize a wedding.  I Do Wedding Design offers you the Helping Hand Package to answer your questions about planning your own wedding and to make sure that nothing is forgotten.  From the moment that you sign on with us, we will be there to help you throughout the wedding process.  We will give you the benefit of our expertise while you remain in control of your wedding planning.

The Process:

As soon as possible, contact I Do for your one-on-one consultation to determine your planning progress, to identify any outstanding issues and to offer advice on any outstanding questions.  For out of town brides, this meeting may take place via Skype.  You will contact your vendors to make all of your wedding arrangements.  This package includes an unlimited number of phone calls and emails and our attendance at up to three meetings with your vendors.  Two more one-on-one meetings are included: one to discuss any issues of concern to the couple during the planning process and one more meeting or discussion to finalize the wedding details. 

The Helping Hand package includes the services of a Lead Coordinator and an Assistant Coordinator for 10 hours on the Wedding Day.  For more information on the services available during the ten hours of coordination, see below.  Additional hours are available.


Helping Hand services may include:

  • All the services listed in the Enchanted Evening package above;
  • Pre-wedding vendor confirmations;
  • Ceremony program suggestions and layout;
  • Advice about managing your budget; receiving lines, venues, vendor selection, invitations, theme development, décor, itinerary, etiquette, gratuities, planning, seating, etc.
  • Reviewing written contracts;
  • Attending the rehearsal;
  • Accompanying you to inspect your selected venues;
  • Guest list and table/floor plan seating assistance;
  • Offering musical suggestions for ceremony and reception;
  • Returning up to two items to vendors (example: florist items & cake tiers)

The Dream Come True Package

Full Planning

This premier wedding planning package targets the busy couple who wish to enjoy all the benefits of a beautiful wedding but do not wish to be involved with all the details and tasks involved in planning a wedding.  We can help you to select your vendors and accompany you to meet them once we have pared down the options that reflect your taste.  You may also choose to leave the decision-making to us and rid yourselves of all wedding-related stresses.  Your input will be required for some of the process (eg: developing the seating plan) but the majority of the wedding planning tasks will be taken off your busy hands.  The work involved in planning a wedding can sometimes become overwhelming, especially for busy couples.  We understand how you are feeling and we will work with your schedule.

The Process:

A preliminary meeting will be required to discuss your budget, your wishes and your comfort level with planning, as well if you wish to make decisions on a weekly or bi-weekly basis.  After the initial meeting, most communication can take place electronically.

$3995 - based on a 12 month engagement and 150 guests.

Dream Come True services may include:

  • All the services listed in the Enchanted Evening package (see above)
  • All the services listed in the Helping Hand package (see above)

  • Coordination of invitations, save-the-dates, place cards and programs

A La Carte Planning

You may want to meet with a planner to discuss issues that you are unsure about or to answer just a few questions.  You have access to a wedding planner without the financial commitment of purchasing a package.  These consultations are available on an hourly basis (no partial hours).

The cost is $100 for the first hour and $50 for each subsequent hour, with a minimum of one full hour - no partial hours.  The full payment is made at the time of each consultation.

The Good Start Planning Package

This is like a small wedding planning course, where the coordinator will sit down with you for up to 4 hours and explain all the aspects to wedding planning and provide you with a checklist of what you must do to have a successful wedding.  If you need more help with planning, you may meet with a planner for A La Carte Planning.


Preferred Vendors List

To save you the time and energy that would be required for you to meet and interview vendors, we will provide you with a list of our preferred vendors.  We have done our homework so you don't have to.  If after purchasing our Preferred Vendors List you decide to upgrade to one of our on-site planning packages, we will credit you the price of the Preferred Vendors List.


E-Planning Package

This package involves no one-on-one meetings but rather unlimited electronic access to a wedding planner via email at any time (emails returned within 24 hours) to answer your questions and concerns.

$300 / 6 months or $500 / 1 year
